HOW TO ENTER STUDENTS

NOTE: Student data is entered in two separate stages as follows:

  1. STAGE I: Must be completed by the Financial Aid Officer at the institution. The Initial Student Entry consists of ssn, first name, and last name. Upon successful completion of Stage I, you may then begin to add records relating to loans, addresses, phone numbers, and personal references during stage II.
  2. STAGE II: May be completed by the student or financial aid officer. Students will enter data via "Student Login" link at www.nsrds.org. Data entered in stage II consists of loan records, addresses, phone numbers, and personal references.
STAGE I: INITIAL STUDENT ENTRY

 

  1. Only Financial Aid Officers May Enter Initial Data in Stage I.
  2. login. (User ID and Password required). New financial aid officers must complete Agreement.(pdf)
  3. Search for student by SSN. (NOTE: Always search with ssn).
      1. Student Exists with records. (view). Proceed to stage II.
      2. Student Exists with "no records". (view). Proceed to stage II. (Note: This student exists, please view upper left corner to display student name and ssn. This indicates the student is in the database however loan, address, phone, reference records do not exist).
      3. Student Not in Database. (view). Follow instructions on page.
  4. Congratulations your student is now entered into the database and nsrds. Proceed to stage II.
STAGE II: ENTERING STUDENT DATA

 

(NOTE: Stage I must be completed and a student must exist in the database prior to adding records in stage II. If you are receiving a message , "Student Not In Database", you must go back and complete stage I.

Loan Records


     

    Add Loan Record:

    • Click the "Loan" link. (Alt + L)
    • Click "New Loan" or (Alt + N), (view).
    • Now you can enter data, (view).
    • Go to first field, (See "Hot Keys" for tip)
    • Enter data, tab to next field, or (shift + tab) to back to back up a field.
    • Select "Go" when done.

Address Records


     

    Add Address Record:

    • Click the "Address" link. (Alt + A)
    • Click "New Address" or (Alt + N), (view).
    • Now you can enter data, (view).
    • Go to first field, (See "Hot Keys" for tip)
    • Enter data, tab to next field, or (shift + tab) to back to back up a field.
    • Select "Go" when done.

Phone Records


     

    Add Phone Record:

    • Click the "Phone" link. (Alt + P)
    • Click "New Phone" or (Alt + N), (view).
    • Now you can enter data, (view).
    • Go to first field, (See "Hot Keys" for tip)
    • Enter data, tab to next field, or (shift + tab) to back to back up a field.
    • Select "Go" when done.

Reference Records


     

    Add Reference Record:

    • Click the "Reference" link. (Alt + A)
    • Click "New Reference" or (Alt + N), (view).
    • Now you can enter data, (view).
    • Go to first field, (See "Hot Keys" for tip)
    • Enter data, tab to next field, or (shift + tab) to back to back up a field.
    • Select "Go" when done.

    To move to different record tables inside of a student use the "Alt" key combinations as described below:

    First Field in Record "Alt" + "." period

    To navigate inside of a record use the "Tab" keys as described below:

    Forward "Tab" key
    Backward "shift" + "tab" keys

 

Express Entry

 

(NOTE: Express Entry should only be used by trained personnel. Please contact support prior to using express entry. Express entry is intended to allow single step data entry in lieu of Stage I and Stage II data entry procedures. If you wish to be trained on Express Entry, please email [email protected]
